Job Description

The incumbent will support the Undergraduate (UG) Programmes section of the Deans Office, Faculty of Science (FoS), by managing the Facultys curriculum development, examinations logistics, and other areas Duties and responsibilities include, but are not limited to the following -



Manage FoS UG Curriculum Matters

To work with Curriculum co-manager to support the secretariat duties to the Science Faculty Curriculum Committee (SFCC) Prepare materials for, and ensure an accurate record of the SFCC meetings

Centrally manage updates and records for FoS Curriculum matters by tracking Facultys curriculum proposals, to follow up with departments and Registrar Office (RO)s updating team (REGUPD) to update Course Catalogue in EduRec on module changes approved by SFCC

Follow up with RO to update the relevant sections in the FoS archived or current online NUS Bulletin when FoS proposals and curriculum updates have been approved by BUS/UCEP/Senate

To liaise with Departments and Deans Office sections (UG and Admissions) for the updating of the bulletin for the following year, including the checking of updates before effecting the changes in the online Bulletin system

Maintain an up-to-date online repository of SFCC documents in the SFCC sharepoint for SFCC members use/reference

Management of FoS Website

Effect the necessary updates to the FoS website in response to curriculum developments in FoS UG Studies

Examination Logistics and Support

Work with the Examinations Team to support the Facultys examination logistics preparation, including distribution of examination materials to Departments, set up of decentralised examination venues, preparation of exam documents and other ad-hoc exam logistics

Support the Facultys post-examination activities, such as preparation of the Board of Examiner (BOE) meetings, printing of Deans List certificates

Assist with the conduct of examination audits scheduled each semester

Other responsibilities

Provide support to the curriculum development and new initiatives to be implemented by the Faculty and UG Section

Attend to email enquiries and ensure responses are prompt and adequate

Assist Deanery in preparation of resources required for meetings/functions

Provide assistance at University/Faculty level events when required (eg Open House, Commencement etc)

Serve internal ad-hoc duties such as taking minutes at section meetings, counter duty etc

Any other ad-hoc duties under the Science Deans Office


Requirements

University degree in any discipline

2- 4 years of relevant work experience for Assistant Manager position and 4-6 years of relevant work experience for Manager position

Excellent writing skills which are essential for proposal reviews, report and minute-writing

IT skills are critical as the staff has to handle online systems

Proficiency in MS Office applications is required

Team player with excellent team work mentality with the ability to independently work in a fast-paced environment and multi-task, nimble in adapting to shifting priorities

Good interpersonal communication skills - as staff has to work with other administrative staff, Faculty members and students

Meticulous, analytical and systematic
